Review of proposed contracts for Telethon production with Arly Sound and the City of San Bcrnardino. C. COMMUNICATIONS FROM THE PUBLIC FOR THE FOUNDATION BOARD This is the time and place for the general public to address the Rancho Cucamonga Public Library Foundation Board. State law prohibits the Boards from addressing any issue not previously included on the agenda. D. ADJOURNMENT OF THE FOUNDATION BOARD E. ADJOURNMENT OF THE LIBRARY BOARD I, Vivian Garcia, Library Administrative Secretary of the City of Rancho Cucamonga, hereby certify that a true, accurate copy of the foregoing agenda was posted on Thursday, January 29, 6:00 p.m., 1998, seventy-two (72) hours prior to the meeting per Government Code 54953 at 10500 Civic Center Drive. 4281 Ridgewood Dr. Riverside, Ca 92509 (909)-683-7363 1-800-564-4314 fax (909)-683-3853 CONTRACT AGREEMENT On Friday & Saturday March 20-21, 1998 Arly Sound is contracted to supply a sound system to the Rancho Cucamonga Library/Robert Karatsu (hereafter referred to as buyer) at the City of Rancho Cucamonga Council Chambers for the Rancho Cucamonga Library Telethon at the price of $950.00 for 2 days to be paid to Arly Sound prior to show time on above date. All transactions shall be made with cashier's check or business check. No personal checks will be accepted. Checks are to be made out to Arly Sound. Payment is to be made to Randy Hannold only. A 50% penalty will be paid by the buyer if this contract is canceled within 48 hours of show time. Electrical power shall be provided by the buyer if electricity is not available at the facility at which the show is being held at. AC power shall be of 120 volts with a minimum of three 20 amp circuits. Electrical power must be available during set-up and tear-down to provide adequate lighting during these times. This does not include power requirements for the entertainment or lighting. Lighting will also be provided by the buyer if it is required for the show. A stage or cordoned offarea will be provided by the buyer, Any special equipment such as drum risers or set designs shall be provided by the buyer if needed. Any special requirements regarding equipment can be added to the sound system with prior notification and approval of Arly Sound. Show-time will be bom 7:00pm to 2:00am on Friday and from 2:00pm to 2:00am on Saturday. Load-in time for Arly Sound will be at 9:00am on Friday. Sound check will be done by 5:00pm on Friday and noon on Saturday. The buyer is required to provide technicians if needed to ensure a smooth operation in the loading and unloading of band equipment. The technicians are not required to load in equipment belonging to Arly Sound. Only technicians belonging to Arly Sound will be allowed to handle equipment belonging to Arly Sound. Prior arrangements can be made to allow the buyer's sound engineer to operate the sound system during the show under the supervision of Arly Sound. Seating will be provided if possible for a limited amount of people at the sound booth. Any facilities provided for performers shall be available to all employees and guests of Arly Sound or similar facilities shall be provided to Arly Sound. Buyer shall supply, at his own expense, security guards and staff'for the protection of personnel and equipment of Arly Sound during set-up, show-time and tear-down. Buyer agrees to hold Arly Sound harmless from any liability for all damages or injuries caused by any security staffor personnel of buyer and any legal action or claim against Arly Sound brought on by such actions of personnel of buyer. In the event of a civil disorder, the likes of which could result in damage to life and property, Arly Sound shall have the right to terminate this agreement at any time without liability. Damage to the equipment will be replaced by the buyer providing the buyer was negligent in the operation of the show. This negligent shall include damage or stolen equipment caused by the crowd or entertainment or improper use of sound equipment by the entertainment or buyer. If any member of Arly Sound, critical in the operation of the show, who becomes ill or incapacitated or if unable for any reason outside of his control to attend the engagement in which instance, any monies paid by the buyer shall be returned forthwith and neither party of this agreement shall be under any further obligation to each other for any other performance. However, every effort will be made on the part of Arly Sound to aquire a replacement sound system for the performance with no penalties to the buyer. If a replacement sound system is found, Arly Sound shall be paid in full according to this contract and any further monies will be paid by Arly Sound to the replacement sound company. 2 Arly Sound will be paid in full according to this contract if the show is canceled due to adverse weather conditions such as rain, strong winds, hail, snow, etc ..... The awards, which honor outstanding achievement in library public relations, are sponsored by The H. W. Wilson Company in Bronx, N.Y., and the Library Administration and Management Association (LAMA), an ALA division. The awards have been jointly sponsored by The H. W. Wilson Company and ALA since 1946. In recognizing the winning library organizations, Sarah Kelley, chair of the John Cotton Dana Library Public Relations Award Committee of the LAMA Public Relations Section, said, "The entries reflect the diverse activities of libraries today, from publicizing library programs to marketing new technologies." The 1998 John Cotton Dana Awards will be presented to: · Brooklyn (N.Y.) Public Library for an energetic centennial campaign designed to increase visibility, launch a new foundation and creme partnerships, built around the borough's past and its vision for the future. · Flint (Mich.) Public Library for_its "eSource-Log On/Look UP/Find Out" effort which significantly increased public awareness of the growing number of electronic resources in the main and branch libraries. A well-planned multimedia campaign extended the library's mission of providing free and open access to information to more citizens and empowered the public with the know-how to use new electronic resources as easily and as conveniently as traditional library materials. · Illinois State Library, Springfield, for successfully promoting a state-wide bilingual public relations campaign to libraries, schools and literacy programs that encouraged families to read together. Public Library for a successful telethon that raised the profile of the library and involved the enthusiastic participation of many previously uninvolved segments of the community. The telethon funded a new technology center and will become an annual event laying the groundwork for a bond issue to build a new larger library. · San Antonio Public Library for an all-out library effort to target teenage mothers with the message that babies are "Bom to Read." The project included an original video, a bilingual manual, educational and community outreach programs. San Francisco Public Library for "Brave Little Girls," a traveling exhibition and series of programs celebrating the courage and accomplishments of fictional and real girls from diverse backgrounds. With an unprecedented partnership of community organizations, companies, funders, volunteers and city employees, this program expanded public perception of the role a library can play in significant social issues. · Serra Cooperative Library System, San Diego, for an innovative summer reading program entitled "Library Detectives One: The Case for Reading." The program featured enticing graphics, a young adult program and participation of 443 library sites. Winning entries will be on display at the LAMA John Cotton Data Awards booth in the exhibit area during the ALA Annual Conference, June 26-July 1, in San Francisco. Conference participants will also be able to view the entries on June 29, from 11:30 a.m. to 1 p.m., at the LAMA "Swap and Shop" program.
