PUBLIC ART COMMITTEE
NOTICE IS HEREBY GIVEN that the Public Art Committee will hold a Special Meeting on
Wednesday, January 31, at 5:30 pm at 10500 CIVIC CENTER DRIVE in the Rains
Conference Room; the purpose of said special meeting is as noted on the attached agenda.

•Oaths of Office for three (3) new committee member terms.
•Consideration to approve the minutes of September 5, 2023.
•Verbal update on the status of the Public Art Trust Fund.
•Verbal update on current fiscal year public art projects and initiatives.

MINUTES September 5, 2023
at 5:30 p.m.
A.CALL TO ORDER
The City of Rancho Cucamonga Public Art Committee held a regular meeting on Tuesday, September 5, 2023 in
the Serrano Conference Room at City Hall, located at 10500 Civic Center Drive, Rancho Cucamonga, California.
Chair Leslie Matamoros called the meeting to order at 5:40 p.m.
Present: Committee Members Bryan Dopp, Paula Pachon, Jaymie Leslie, John Machado, and Leslie Matamoros
Also Present: Katie Bailey, Management Analyst II and Morgan Chavez, Management Aide
B.PUBLIC COMMUNICATIONS

C.COMMITTEE BUSINESS
C1. Consideration to approve the minutes of June 6, 2023
MOTION: Moved by Bryan Dopp seconded by Paula Pachon to approve meeting minutes of June 6, 2023. Motion
carried 3-0 (AYES: Dopp, Pachon, and Matamoros. NOES: None; ABSTAIN: Leslie and Machado; ABSENT: None)
C2. Update on the Status of the Public Art Fund.
MOTION: N/A
Katie Bailey, Management Analyst II, provided an update on the status of the Public Art Fund balance - total
$589,677.15 - and let committee members know that we were working on a system to better track potential funds for
the trust.
C3. Update on the Call for Artist Software
MOTION: N/A
Morgan Chavez, Management Aide, and Katie Bailey, Management Analyst II, provided an update on the use of a Call
for Artist Management Software called CaFE. Staff shared that this software would help to streamline the Call for
Artists process for both artists and reviewers. Staff also shared that an artist information session and training would be
held to help train artists, applying for the upcoming Mini Mural Project, on how to create a CaFE account and submit
an application through CaFE. Discussion followed on best practices for supporting artists that hadn't used the software
before and it was recommended that Staff send out an email to the artists listserv to let them know that we would be
using the software to eliminate issues before the Call for Artist Closed.

C4. Update on the Mini Mural Project.
MOTION: N/A
Katie Bailey, Management Analyst II, shared an update on the upcoming mini mural project, letting Committee
members know that the Call for Artist would be launching on September 20 for the five, mini mural sites. Discussion
followed on best practices for prepping the sites for mural installation and the Committee recommended that the City
complete the site prep, which includes cleaning and priming the directional markers for the artists to ensure that the
process is completed consistently and in a way that will increase longevity of the art.
C5. Update on California Arts Council Fellowship opportunity.
MOTION: N/A
Katie Bailey, Management Analyst II, shared with the Committee the City's intention to submit an application for a
California Arts Council Fellowship, to support capacity building for the RC Public Art Program. The Committee was
supportive of the application and discussion ensued on the projects that the Fellow would support, if awarded. Staff
also shared that they would hear back on whether or not the City was selected in October or November, 2023.
C6. Update on Utility Box Beautification Program
MOTION: N/A
Morgan Chavez, Management Aide, and Katie Bailey, Management Analyst II, shared the final designs for the Fiscal
Year 2022/2023 Utility Box Project and the timeline for installation. Staff shared that the process was delayed as
they worked with artists to finalize file types and schedule installation with the vendors.
C7. Update on the Temporary Community Art Project
MOTION: N/A
Katie Bailey, Management Analyst II, shared an update on the latest mock ups for the Temporary Art Installation
structure. Staff shared that they are working to have the designs and fabrication completed before the end of the
Fiscal Year and asked for feedback on the current design. Committee members shared feedback that the design
should incorporate a ledge of cover over the art installations to limit the risk of damage from weather or animals
perching on top of the structure.

December 5, 2023.
