A. CALL TO ORDER
An adjourned meeting of the Rancho Cucamonga Public Library Foundation Board was held on
Monday,March 4,2002, in the Tri-communities Room of the City of Rancho Cucamonga,located at
10500 Civic Center Drive,Rancho Cucamonga,California. The meeting was called to order at 6:00
p.m. Present were Boardmembers Balchak, Beasley, Bradshaw, Filippi and Pachon.
Mayor Bill Alexander, Deborah Clark,Library Director, Robert Karatsu, Library Services Manager
and Vivian Garcia, Senior Administrative Secretary, were also present.

i) Report from Youth and School Subcommittee: Boardmember Davies reporting.
Boardmember Davies reported on the subcommittee's activities.
Deborah Clark, Library Director, thanked Boardmember Davies and the subcommittee on all their
effort and hard work in working with the schools for the Telethon.
ii) Marketing Subcommittee:
(1) Arrange for poster distribution
Deborah Clark,Library Director,asked for volunteers to distribute posters to the different shopping
centers in Rancho Cucamonga.

restaurants, etc., following-up on letters sent for "Magic Word Donations" for the Telethon.

Robert Karatsu, Library Services Manager, stated that staff had pre-taped quite a few acts on
Saturday, February 23. Also, pre-taped were short videos of the Kidsmobile, Back to Basics
program,and the HouseCalls program. The Reading Moments,children talking about their favorite
books,were also taped to be shown during the Telethon. He will be editing the material next week.
c. Fundraising
i) Report from Deborah Clark, Library Director on status of letters and donations
Deborah Clark, Library Director, updated the Board on the letters being mailed. She stated that
approximately $10,000 had been received from donations.
ii) Saturday Champagne Reception for donors. Oral report by Deborah Clark,
Library Director.
Deborah Clark, Library Director, stated that there will be a Champagne Reception for donors on
Saturday, March 23, around 8 p.m. for the $100 past donors and businesses and the Friends.
E2. Determination of date for the next meeting.
The next meeting for the Library Foundation Board will be on Monday,March 18,2002,at City Hall
in the Tri-communities Room at 6 p.m.

An adjourned meeting of the Rancho Cucamonga Public Library Foundation Board was held on
Monday,April 29. 2002, in the Tri-communities Room of the City of Rancho Cucamonga,located at
10500 Civic Center Drive, Rancho Cucamonga,California. The meeting was called to order at 6:08
p.m. Present were Boardmembers Balchak, Bradshaw, Davies, Pachon, Viricel and Williams.
Mayor Pro Tem Diane Williams, Library Board President Robert Howdyshell, Library
Boardmember Joyce Womack, Members of the School Subcommittee, Deborah Clark, Library
Director and Vivian Garcia, Senior Administrative Secretary, were also present.
B. CONSENT CALENDAR
Bl. Approval of minutes: March 4 and March 18, 2002 (Viricel abstained)
The minutes for March 4 will be held over to the next meeting due to the lack of a quorum for
approval.
Boardmember Davies requested the following word changes to the minutes of March 18: the tea to
recognize the work of the School Subcommittee was held at the Library, not the home of
Boardmember Bradshaw.
MOTION: Moved by Boardmember Davies with changes, seconded by Boardmember Williams to
approve the minutes for March 18,motion carried, 5-0-3-1 (with Beasley, Filippi and Stark absent).

Deborah Clark, Library Director, reviewed the status of the collections with the Library Foundation
Board.

Deborah Clark, Library Director Manager, the Library Foundation Boardmembers; Library
Boardmembers and the School Subcommittee members discussed the surveys. Staff will be
compiling the survey information in a report once all surveys have been received.
c. Gift Availability
i) When they will be available.
ii) How they will be delivered/or picked up.
Deborah Clark, Library Director, stated that once donors have fulfilled IRS requirements and
responded to staff regarding what incentives they want, staff will order the items and have them
available for pick-up at the thank you party.
Deborah Clark,Library Director,asked the Library Foundation Boardmembers if they would like to
deliver items not picked up.
The Library Foundation Boardmembers agreed to deliver items to donors after the party.

The Library Foundation Boardmembers decided the Telethon 2002 Thank You Party will be held on
Friday, June 21", at the Library at 7 p.m.
President Pachon asked for volunteers for a subcommittee to help with the party.
Boardmembers Pachon, Viricel and Davies volunteered.

The Library Foundation Boardmembers decided to recognize the Hosts, Donors ($500 and above),
Subcommittees and the Business Donors at the City Council meeting on May 15. The schools will
be recognized on the June 5 City Council meeting.
D2. Donor Wall Recognition
a. Staff recommends that the Library Foundation Boardmembers focus on contacting all
eligible donors after the 2002 Telethon campaign is closed, during June.
President Pachon asked for the Donor Wall Recognition to be held over until the June meeting.

The next meeting for the Library Foundation Board will be on Monday,June 3, 2002, at City Hall in
the Tri-communities Room at 6 p.m.

RECOMMENDATION:
It is requested that the Library Foundation Board consider establishing goals to achieve
in 2002/2003.
BACKGROUND:
The Library Foundation is going into a non-Telethon year in 2002/2003. The Library
Director recommends the Board consider establishing goals to help achieve growth and
direction in the year ahead. It is appropriate that the approved budget reflect costs that
correlate to the goals selected. Therefore, the Board might wish to review and approve
the selected goals at the same time they approve an adjusted proposed budget for
2002/2003.

RECOMMENDATION:
It is requested that the Library Foundation Board review the preliminary proposed
budget for 2002/2003 and recommend further action.
BACKGROUND:
The attached budget proposal reflects the current balance in the Library Foundation
Account and the anticipated revenues for next year based on a "non telethon" year.
Expenditures for this year's Telethon will be available at the meeting.
It is recommended that the Board determine what allocations are necessary to support
the goals selected by the Library Foundation for the next fiscal year, and direct the
Library director to return the budget document for approval at the next meeting with
appropriate adjustments.
