HomeMy WebLinkAbout10-042 - Resolutions RESOLUTION NO. 10-042 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF RANCHO CUCAMONGA, CALIFORNIA, APPROVING RECORDS RETENTION SCHEDULE ADDITIONS AND AMENDMENTS FOR THE ENGINEERING/TRAFFIC DIVISION DEPARTMENT OF THE CITY OF RANCHO CUCAMONGA WHEREAS, it has been determined thatthe City records listed in Exhibit A, attached, be retained for the designated periods of time based on their administrative, fiscal, legal and historical values; and WHEREAS, staff from Engineering/Traffic Division responsible for each record series have reviewed and approved the recommended additions and amendments to the retention schedule for that DepartmenUDivision; and WHEREAS,the City Attorney's Office has determined that each recommendation is legally compliant; NOW,THEREFORE,the City Council of the City of Rancho Cucamonga does hereby resolve as follows: SECTION 1: That the proposed additions and amendments to records retention schedules included in Exhibit "A" attached hereto and made a part hereof are approved. SECTION 2: That the City Clerk shall certify to the adoption of this resolution, and thenceforth and thereafter the same shall be in full force and effect. Please see the following page for formal adoption,certification and signatures PASSED, APPROVED, AND ADOPTED this 7`h day of April 2010. Reynolds, Cit Clerk Resolution No. 10-042 - Page 2 of 3 EXHIBIT `A' Miscellaneous Amendments to the Engineering/Traffic Division Retention Schedule Engineering/Traffic Division Record Title Codes 11411.0 Speed Zone Studies An administrative change: Increase retention from 7 years to 10 years. 7030.8 Traffic Counts An administrative change: Decrease the retention from 7 years in office storage to 2 years in-office storage and 2 years Records Center storage. In addition to the previously mentioned additions the Engineering Traffic Division would like to add the following items to the Retention Schedule. 7030.2 Service Order Requests Request for routine maintenance of existing City owned facilities, or the installation of new City owned facilities in the public right-of-way or on City owned property. Retention: Active/Current plus 24 months and Records Center 24 months. Destruction method: Recycle 7030.3 Traffic Investigation Report (T.I.R.) Requests relating to traffic safety that have been investigated by the Engineering Department. Retention: Active/Current plus 24 months and Records Center 24 months.
